Data Retention, Deletion & Account Closure Policy

This Policy explains how Atlas Cloud AI Inc. ("Atlas", "we", "our", or "us") handles the retention, deletion, and lifecycle management of Customer Content, Customer Personal Data, Operational Metadata, and Account Information.
Atlas provides multiple service configurations with different retention characteristics. Certain Atlas Services may temporarily retain Customer Content for operational purposes, while approved Enterprise Zero Data Retention ("Enterprise ZDR") configurations may not retain Customer Content after processing is completed.
1. Purpose
This Policy should be read together with:
In the event of any conflict between this Policy and a separately executed Enterprise Agreement, DPA, or Enterprise Zero Data Retention Addendum, the executed agreement shall prevail.
2. Customer Rights
Subject to applicable law, customers may request:
  • deletion of personal information associated with their Atlas account;
  • closure of their Atlas account;
  • access to certain account information;
  • correction of inaccurate personal information.
Requests may be submitted to [email protected]. Atlas will review and respond to requests within applicable legal timeframes.
3. Customer Content
3.1 Standard Services
For Standard Services, Atlas may temporarily retain Customer Content for operational purposes, including customer access to generated assets, download functionality, troubleshooting, customer support, abuse prevention, and service delivery.
Customer Content may be retained for up to seven (7) days unless otherwise specified. Following expiration of the applicable retention period, Customer Content is scheduled for deletion from Atlas-controlled systems.
3.2 Enterprise Zero Data Retention Services
For approved Enterprise ZDR Services, Atlas does not intentionally retain prompts, generated outputs, uploaded files, images, videos, audio files, embeddings, or other Customer Content following completion of processing.
Enterprise ZDR commitments apply only to services specifically designated under an executed Enterprise Zero Data Retention Addendum.
4. Account Information
Atlas may retain account information while an account remains active. Examples include:
  • account owner information;
  • email address;
  • company name;
  • authentication records;
  • account settings;
  • support communications.
Upon verified account deletion requests, Atlas will delete or anonymize account information within a commercially reasonable period unless retention is required by law or legitimate business necessity.
5. Billing, Financial, and Legal Records
Certain records cannot be deleted immediately due to legal, accounting, tax, fraud prevention, or regulatory requirements. Examples may include:
  • invoices;
  • payment records;
  • transaction history;
  • tax documentation;
  • dispute records;
  • audit records.
Such records may be retained for the period required by applicable law or legitimate business necessity.
6. Operational Metadata
Atlas may retain Operational Metadata necessary for billing, security monitoring, fraud prevention, abuse prevention, reliability monitoring, troubleshooting, legal compliance, and dispute resolution.
Examples may include:
  • request identifiers;
  • timestamps;
  • token counts;
  • latency measurements;
  • status codes;
  • routing information;
  • account identifiers.
Operational Metadata is not intended to contain Customer Content.
7. Third-Party Model Providers
Certain Atlas Services route requests to Third-Party Model Providers. Examples may include OpenAI, Google, BytePlus, Alibaba Cloud, xAI, and other approved providers.
Where Customer Content is processed by a Third-Party Model Provider, the provider's own retention, deletion, security, privacy, and compliance practices may apply.
Customers with specific data residency, privacy, compliance, or retention requirements should discuss provider-specific routing restrictions with Atlas prior to production use.
8. Account Closure
Customers may request account closure at any time. Following closure:
  • access to Atlas Services will be terminated;
  • unused credits may be forfeited unless otherwise agreed in writing;
  • account information will be deleted or anonymized subject to applicable legal requirements;
  • operational records may continue to be retained where necessary for security, billing, compliance, dispute resolution, or legal obligations.
Account closure may be irreversible. Customers are encouraged to export any data they wish to retain before submitting a closure request.
9. Security Incidents
Atlas maintains procedures designed to identify, investigate, contain, and remediate security incidents.
Where required by law or contractual obligation, Atlas will provide notice regarding confirmed Security Incidents affecting Customer Personal Data.
Enterprise customers should refer to their applicable DPA and Enterprise agreements for additional details.
10. Backups
Account information, billing records, and operational records may be included in encrypted backup systems. Backup copies are retained only for disaster recovery and business continuity purposes.
Deleted data may remain in backup systems until the applicable backup retention cycle expires. Customer Content retained under Standard Services follows the retention practices described in the Atlas Data Retention & Enterprise Zero Data Retention Policy.
11. Enterprise Customers
Enterprise customers may request:
  • Data Processing Addendum (DPA);
  • Enterprise Zero Data Retention Addendum;
  • Subprocessor List;
  • AI Provider Data Protection Matrix;
  • Security Overview;
  • provider-specific compliance information where available.
Availability of documentation may be subject to confidentiality obligations.
12. Changes to This Policy
Atlas may update this Policy from time to time to reflect changes in services, infrastructure changes, provider changes, legal requirements, operational practices, and security improvements.
Material updates may be communicated through Atlas Services, customer communications, or legal documentation updates.
